STANDARD TERMS & CONDITIONS

 

Hwange Safaris, registration number 2017/250890/07. A company registered under the AfriVenture Experiences Group according to the company laws of the Republic of South Africa. The below Terms & Conditions will apply once a booking is made between Hwange Safaris and yourself.

 

Bookings

 

Once a tour booked, you are required to pay a non-refundable deposit of 30% to secure your booking. Should a booking be done within 45 days of the departure date, the full amount is payable at the time of booking.

 

Deposit and Invoicing

 

Once your booking is accepted, Hwange Safaris will send you confirmation. Please refer to this confirmation for details regarding final payments.

 

Invoices are issued on booking confirmation.

 

  • 20% payment is required to confirm your booking for all land and internal flight arrangement costs

  • 100% payment is required 45 days prior to the departure date. Bookings made within four weeks prior to the start date must be paid in full immediately.

 

You will not be able to stay at any of the Hwange lodges without payment being full. Hwange Safaris reserves the right to cancel a booking should a booking not be fully paid.

 

Cancellation Policy

 

If you cancel a booking, fees may apply. A cancellation should be done in writing and will only be effective once received and acknowledged by Hwange Safaris. The date on which Hwange Safaris receives the correspondence will determine the cancellation charge.

 

If you cancel a booking:

 

  • 45 days or more to tour departure: 30% deposit.

  • Less than 45 days before booking: Cancellation fee will be payable equal to 40% of land arrangements, plus any airfare that may be deemed non-refundable.

  • Less than 30 days before booking: Cancellation fee will be payable equal to 65% of land arrangements, plus up to the full amount of the air ticket.

  • Less than 15 days prior to tour departure: Cancellation fee will be payable equal to 100% of all travel arrangements.

 

You are strongly advised to take out cancellation insurance at the time of booking.

 

Force Majeure

 

We may cancel a trip due to circumstances beyond the control of Hwange Safaris including war, civil war, public disorder, civil disturbance, weather, riots, natural disasters, closure of airports, epidemic or health risk, and other unforeseen reasons may cause a delay in performance of a booking. Hwange Safaris will not be held liable for any of these possible occurrences.

 

In circumstances where the cancellation is due to external events outside of our control, refunds will be less any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.

 

Client’s responsibility – Passport, Visas and Vaccinations

 

It is your responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are in order. Your passport must be valid for 6 months beyond the duration of the trip and must contain at least 2 blank pages. Hwange Safaris will not be held liable for any consequences, damages or claims if you are refused entry to Zimbabwe because of wrong documentation. Any costs related to this will be at your own expense.

 

Travel Insurance

 

Comprehensive travel and cancellation insurance is mandatory for all travellers and should be taken out at the time of booking. Your travel insurance must provide cover (but not limited) against personal injury, death, medical expenses, repatriation expenses, emergency travel, damages, and loss of personal items. Other than compulsory insurance, the decision which insurance cover you obtain, is solely the responsibility of the traveller.

 

Confidentiality

 

Hwange Safaris will only use private information collected from you for any purpose associated with the operation of the trip. This particularly applies to the subject matter of hotel contracts, activities and other contracts entered with service providers
